Mihaela Botea, Chief Financial Officer, Publicis Groupe Romania.

“We have taken on the commitment of a complex digitalization process that makes us more agile, fast and precise in the consultancy that we give to our clients, and now, also in relation to our suppliers. Thus, after having launched in the past two years digital solutions meant to bring added value to our strategic consultancy services, we are now marking a new major landmark in the digitalization process. Starting today, we are reducing to 0 the risk of errors in billing, we are processing bills faster and simpler and, as such, we can be closer with our partners. With this ambitious project, we are consolidating our collaborations and our top position on the local communication market”

The activity of Publicis Groupe Romania is carried out through three companies: Publicis Groupe Media Bucharest, Lion Communications and MMS Communications Romania. Every year, Publicis Groupe Romania processes over 80,000 bills from over 1,000 suppliers of various services. The implementation of the DocProcess solution for automated processing of financial documents was determined by a series of needs such as: 100% correct bills, increased bill processing speed and rapid generation of intermediary financial reports. Integrating all suppliers and clients in the DocProcess digital ecosystem will lead to more rapid bill payments, a welcome support for the company’s partners in the current COVID-19 pandemic context.

Gabriel Gavrilă, Commercial Director, DocProcess.

“We are thrilled to have started a collaboration with Publicis Groupe Romania, this being our first project with a player in the advertising and communication industry. By implementing the DocProcess solution, the group digitalizes and automates business processes in relation to its partners, thus reducing the data processing time and minimizing the manual processing of documents. In the new socio-economic context, on a market that is highly competitive, companies that choose to invest in digitalization and automation will have extra agility and adaptability that, sometimes, can make the difference between a lost and a won project”

In the project, started in July 2020, the DocProcess team manages the process of dematerializing issued bills and the transmission of metadata extracted to the ERP of Publicis, with the final objective of carrying out all the document exhanges between Publicis and its partners through the DocProcess platform, through ERP to ERP type of communication solutions.

International studies indicate that a person can manually process a maximum number of 1,000 bills per month. At the same time, the error margin for manual bill processing is up to 35%, which results in delayed payments, with negative impact on relations with suppliers. By using the electronic DocProcess solution, Publicis Groupe Romania will reduce the error margin to 0.1% and costs related to document processing. Moreover, the accounting team will gain time for tasks with added value.

Publicis Groupe Romania is the first player in the advertising industry that uses the DocProcess solution. As a supplier of cutting edge business ecosystem automation, DocProcess collaborates with players in industries such as retail, pharma, constructions, agriculture, but also logistics and production. In the context of the COVID-19 pandemic, more and more companies are seeking to improve their processes, particularly to reduce the bill processing time. According to global research, business ecosystem automation can reduce the bill processing time from 25 days to 5 minutes, thus significantly improving the cashflow and the client-supplier relation.
